How 17hats Lead Capture Forms and Questionnaires Turn Client Requests into Win-Win Experiences.

As a web designer working with small business owners and entrepreneurs, I always search for tools that help me stay organized, foster productive client relationships, and streamline project workflows. 17hats Lead Capture Forms, and Questionnaires are my go-to intake and project management solutions. These are not just simple forms—they are powerful CRM SaaS tools that empower me to manage my business efficiently, stay on top of client needs, and create websites quickly. Check out the 7 reasons why we love them.

           1. Be Consistent: Ask the Right Questions Every Time

Consistency is key when it comes to gathering project information.17hats Lead Capture Forms, and Questionnaires ensure everyone on our intake team captures consistent, relevant information for every project we do, saving valuable time. Whether it's basic contact info or pertinent details related to the individual design, our team has specific forms that uniquely streamline the process, automating workflows right from the client's first interaction.

           2. Reduce Putting Clients On the Spot: Forms Give Them Time to Reflect on Their Business

Clients often need a moment to think about what they want for their website or brand design, and filling out a questionnaire allows them to do so without the time-limited pressure of a discovery call. They can reflect on their goals, share brand insights, and clarify unique needs. So, reduce your client's stress and don't have a meeting or chat for something that could have been gathered from a well-crafted form. The result: you'll get responses that are more detailed and aligned with their vision.

           3. Delegate with Ease & Clarity: Seamlessly Streamlined Service Requests

Have you ever had a client send you a request via email only to find it needs more essential details to make the changes? One of the standout features of Lead Capture Forms and Questionnaires is their ability to eliminate the constant back-and-forth typical of service requests. Clients find it easier to go to our website and fill out our tailored lead capture form rather than firing off email after email. This is a win-win: we receive a clear and thorough understanding of their requirements right from the start, allowing us to kick off the project without delay, which keeps our clients satisfied and enables us to concentrate on producing high-quality work. We can dive into the tasks immediately, delegate project responsibilities from one form, and earn clients' confidence that their projects are on track for completion.

           4. Set Your Team Up for Success: Reduce the Project Info Gaps from the Start

Being efficient can make or break any collaborative work project. So for us, we use well crafted lead capture forms for each project request we get, delegating tasks to a team or virtual assistant becomes straightforward. Thus enabling faster project turnaround, quality work, all while reducing delays caused by waiting for additional client input.

           5. Free Up Mental Bandwidth for the Deliverables

In the realm of web design, creativity and strategy are paramount. By keeping all information organized, 17hats forms and questionnaires free up mental bandwidth, fostering everyone's capacity to concentrate on delivering top-notch services. This streamlined process not only saves hours weekly but also enhances focus on moving projects forward without the distraction of sifting through emails and chat logs.

           6. Manage Project Changes with Grace and Confidence

Scope creep is a common challenge for designers. Clients often introduce new ideas or requests after a project begins, potentially altering the scope of work. With a clear record of initial client requests, addressing these changes professionally and constructively is easier. Referencing the forms, we can realign expectations, approaching any adjustments delicately and transparently.

           7. Provide Accountability and Quality Service From Start to Finish

Accountability is at the core of quality service. Using Lead Capture Forms and Questionnaires ensures the first step is documented. From there, we can provide a clear reference of agreed-upon deliverables. This reduces the risk of missed details, guaranteeing high client satisfaction. Building trust with clients, maintaining a solid reputation, and delivering exceptional web design services are integral to success.

           Pro Tip:

When we're close to the end of a web project, we send our clients a project completion email with a questionnaire attached. The questionnaire asks them to approve the finished product and permit us to publish the site for final end-user testing.

Scope Creep: Chaos's Bestie Or A Web Designer's Foe?

Scope creep, oh boy, it's that sneaky troublemaker that shows up uninvited to the entrepreneurial party sooner or later. Ever since I kicked off my web design journey back in 2017, let me spill the tea on what I've gathered along the way. Dealing with scope creep is like meticulously planning a wedding only to have it throw its own wild plans on the big day. No matter how many safeguards you set up to fend off scope creek, brace yourself for unexpected situations, circumstances, or variables that let scope creep waltz right in.

So, here's the real talk – when that happens, don't panic, just face the situation head-on. Pinpoint the scope creep, communicate like your project's life depends on it, tweak the plan accordingly, maybe say a little prayer, and toss in some flexibility to wrangle the project back within the lines. Now, don't get me wrong, starting and finishing a project is my jam; it's the sweet spot of web design. Turning nothing into something that rocks others' worlds – that's the dream. But, scope creep? It's like that unexpected plot twist I've learned to embrace over time.

Here's the reality check: a) it can hit any project, no matter how well you vetted the client and the deliverables, and b) the signs of scope creek were probably flashing neon from the start; you just didn't catch them. And guess what? That's totally fine. Scope creep, believe it or not, can be an opportunity to level up a project into something both my team and the client can thrive on.

But here's the big question: How? Well, scope creep might stretch out the project timeline, demand new skills, partners, and tools, and, here's the kicker, it might need more moolah from the client to make it happen. My golden nugget of wisdom? Approach scope creep like you're Switzerland – neutral territory. Lay out the costs, labor, and other investments needed to "right the ship" (or course correct, call it what you want). Get the client on board, and you're golden.

Now, here's the early lesson I learned in this crazy journey – sometimes, despite all your actions, scope creep might win, and you gotta TAKE THAT L. Yeah, it stings like a mother, but take it, soak in the lessons, build some badass processes and policies to dodge it next time, hustle like your life depends on it to bounce back, and just keep pushing. Because in the grand scheme of things, scope creep might be a mofo, but you're the ultimate boss.

Making changes and moves in 2024 has got me thinking about digital design in a space that is ever changing. I thought I would ask Chat GPT and other ai programs about top web design trends of the new year. It came up with a lot of basic information about features and design aesthetics that have been present for several years. So when ai writes things like "the world of web design is undergoing a transformative journey, marked by innovative trends that redefine the digital landscape". Its absolutely true, however, I still think the big areas that will continue to grow, shift and change come back to 2 basic principles: User Experience and Function.

So while I'd like to share the 8 design trends that ai has come up with for web design in 2024: I'm going to begin with why "emerging trends and innovations" are always rooted in focusing functionality, and user experience.

All of these innovative features and trends mentioned below have been in the design space for a while, but with ever changing technology, powerful no code platforms, they have become easier to implement in record time. These features are how you build a high converting website: Making websites functional and accessible for the user's experience answers 2 key questions: What is this website doing for the visitor and Why is the website doing it?

So here's my tips to get you started:

The Experience - Design with web accessibility and user privacy at the forefront:

Make it easy for users to navigate the website and complete whatever call to actions you want. The user should feel like its easy to get work with your website and obtain the solution that they need. Keeping the user experience seamless, easy, accessible and quick are important ways to maximize engagement and conversion.

Take a peek at what ai recommends for how to design websites with the tips mentioned above:

             Immersive 3D Design:

Web design is moving beyond the constraints of two dimensions, with the integration of immersive 3D elements. The use of three-dimensional graphics and animations creates a more engaging and interactive user experience. From product displays to entire website environments, 3D design is adding depth and realism to the digital realm, enhancing user engagement and brand identity.

             Augmented Reality (AR) Integration:

AR is no longer confined to mobile apps; it's making its way into web design. Brands are leveraging AR to provide users with interactive and personalized experiences directly through their browsers. From virtual try-ons for e-commerce products to AR-enhanced storytelling, this technology is redefining how users interact with websites.

             Dark Mode Dominance:

Dark mode has evolved from being a trend to becoming a standard feature in web design. With its numerous benefits, including reduced eye strain and improved battery life for OLED screens, dark mode is not only aesthetically pleasing but also functional. Websites are incorporating dark mode as a default option, allowing users to choose their preferred viewing experience.

             AI-Driven Personalization:

Artificial Intelligence continues to play a significant role in web design, particularly in delivering personalized user experiences. AI algorithms analyze user behavior and preferences to tailor content, layouts, and recommendations. This level of personalization enhances user satisfaction and increases the likelihood of conversion.

             Voice User Interface (VUI) Integration:

With the rise of smart speakers and voice-activated devices, web designers are adapting to the growing popularity of voice user interfaces. Websites are incorporating VUI to make navigation and interaction more accessible for users who prefer voice commands. This trend is crucial for ensuring inclusivity and accommodating users with diverse needs.

             Minimalist and Sustainable Design:

Sustainability is a key theme in 2024, extending to web design. Designers are embracing minimalist aesthetics to create clean and efficient websites that prioritize functionality and reduce environmental impact. Sustainable web design involves optimizing performance, reducing carbon footprints, and making conscious choices in color schemes and graphics.

             Neomorphic Design Elements:

Neomorphic design, a trend that emerged in recent years, continues to gain traction. This design style combines skeuomorphism and minimalism, creating interfaces with soft shadows, subtle gradients, and a sense of depth. Neomorphic design elements enhance the visual appeal while maintaining a user-friendly interface.

The photographs you use for your brand can have a huge impact on the success of your product. If you are going to invest in professional product photography, it's important that you understand how the right product photos will help grow your business. This blog post is going to explore the benefits of using professional product photography for your brand!

           Pay Attention to Detail

Product photography should show the product in detail. Professional product photos will have the ability to highlight the product's features and details. This helps customers get a better understanding of what they are buying while also creating trust for your brand. The phrase goes “the devil is in the details”... But in product photography the details of good photos come from photo backgrounds, lighting, shadows, high quality cameras, editing software and photography experience. What I have learned over the past several years, is that all of these tools are necessary to get quality product photographs that can be used on websites, social media and print campaigns. So my advice would be to do one of the following:

Learn how to shoot product photography with all the quality equipment needed.

Hire a professional photographer that specializes in product photography to do it for you.

Hi-Resolution Images Come from High Quality Equipment

In order to have good pictures for your product, you need very high resolution. And to achieve that, you need to use a DSLR camera with a good lens. As a web designer, I can’t tell you how many times client’s have tried to use their smartphone social media images on their website and don’t understand why the images are pixelated, blurry and unrecognizable when zoomed out.

The short and simple answer is DSLR cameras are more powerful than smartphones when it comes to taking high quality images that can be used on websites, social media and print.

Smartphones take images meant for mobile consumption, the image file is smaller, the lens picks up less data. This means when you try to use an image taken on a smartphone and stretch the image, expand it to fit a website’s desktop view, it will fail almost every single time.

Stay Consistent with Where You Place Your Product

Professional product photographers will take pictures of your product in the same position every single time. Being consistent with positioning and lighting makes it easier for people to understand what they are looking at, which is beneficial when there may be several other products on the market that look similar to yours. This kind of consistency matters because it helps the visitor visualize the dimensions/size of the product. Good focal points make it easy for viewers to find information quickly which increases the likelihood of a visitor clicking the buy button.

           Landscape or Portrait Product Photographs

There is a time and place to use landscape and portrait photographs online. What I mean by that is different parts of a website use landscape images better than others. The same can be said about portrait images. Let me explain further, typically I prefer product photograph images in portrait view for the e-commerce sections. Because if all the product images are in that view style, it’s easier to focus on the product itself. But when I want to show lifestyle images to convey tone, branding and style, throughout other parts of the website, I look for editorial imagery in landscape view. Landscape images are easier to stretch from the left to the right sides of the screen. Portrait style images tend to stop short when trying to expand from left to right because they stretch more vertically.

I’ve shared some of my best practices about how to use product photography and I leave you with the following recommendation:

Professional product photography is important when selling your products and services. Poor images can make people not want to buy your things. So take good, clear photos. If people can't understand how the product works in the photo, they might not buy it.

           1) JPEG: This is a picture format that you can quickly drag into your Facebook or Twitter status update area to upload. It's a good idea to reduce the JPEG before submitting it so that it looks better on your profile photo or cover photo!

           Pro Tip:

PNG files are like JPEGs but they can reduce the amount of space they take up on your website while producing a higher quality image (especially when images are taken with a high quality DLSR camera).

           2) PDF: A PDF document is created from an original word processing document through a process known as scanning and OCR (Optical Character Recognition). This is the file format you would use for a document-type digital product, like an ebook. Often you'll see it marketed as "get a free chapter of this book before its release...Click here"

           3) Vector: Vector graphic files are most often used for logos, illustrations, and clip art. Vector graphics consist of lines describing the kind of curve desired with coordinates that denote where on an illustration they fall to create a specific shape. These files can be printed and they do not blur or pixelate. They are best used with programs like Adobe Illustrator and Publisher.

           Pro Tip:

Always specify that you want the vector files of your logo from your designer. Often the designer will refer to them as source files, but it's a good practice to make this clarification.
